Process audit & custom tooling

Operations for teams that outgrew the spreadsheet

When your operations are stuck, the whole team moves slower than it should. We review your workflows, recommend improvements, and streamline the way the work runs.

Single projects · Fixed prices · No retainers or monthly fees

Common problems

If this sounds familiar

No clear overview

It is hard to see what is happening across teams and projects, so people ask around or wait for the next meeting.

Too much manual work

The team spends hours on repetitive updates, emails, and copying information from one place to another.

Things get lost

Information is spread across spreadsheets and email threads, and nobody is sure where the current version is.

Processes no longer fit

The way of working was set up for a smaller team and has not kept up with the daily reality.

The audit finds which of these costs you the most, and in what order to fix them.

The route

Every engagement starts the same way

  1. Waypoint 01

    Where you are

A short call about how work currently moves through your team. This is free and carries no obligation.

  2. Waypoint 02

    Process audit

A close look at how work actually moves through the team: who does what, where things wait, and what that costs. It ends in a written map of your operations.

  3. Waypoint 03

    Build

Small tools that fit your daily work. Where possible they run on what you already use, and anything new stays small and quick to learn.

  4. Waypoint 04

    Handover

Documentation your team can maintain on its own. The project ends, and the system keeps running.

Engagements

One-off projects, fixed prices

We work in single projects with a fixed price agreed up front. There are no retainers and no monthly fees. The goal is to leave you with something that works without us.

Process audit

The starting point for every engagement. Two weeks, one fixed price, one deliverable: a written report on what works, what costs time, and what to fix first. The report is yours to keep, whoever does the fixing.

Custom tooling

Builds that close the gaps the audit found. Automations, internal tools, and connections between the systems you already run.

A custom tool can often replace one or more paid subscriptions rather than add new ones. When it does, the project starts paying for itself.

Who is behind Rumo

Rumo is run by Sonya Birch, based in Berlin. Before consulting, she spent years in operations and communications at a cultural venue, where she built the internal systems the team still runs on today: scheduling, ticketing, mailing, and reporting, connected and largely automated.
